Position Overview

The Administrative Assistant will be responsible for providing administrative support and assistance to ensure efficient operation of the office. This role involves performing various clerical and administrative tasks, such as data entry, organizing files, answering phone calls, and filing. The ideal candidate is detail-oriented, organized, and able to multitask effectively.

Key Responsibilities (Essential Duties and Functions)

  • Assist with the day-to-day operations of the HR department, including filing, data entry, and maintaining employee records.
  • Assist with maintaining and updating driver qualification records per current DOT regulations.
  • Coordinate appointments for employees needing to update their DOT medical card.
  • Provide support during annual benefits enrollment periods, including distributing information and assisting employees with enrollment process.
  • Assist individuals with the application process when necessary. 
  • Back-up to the Receptionist on a daily basis for breaks and full-time receptionist as needed. Duties include answering phone calls and the front door for visitors along with handling incoming and outgoing mail and packages.
  • Coordinate travel arrangements and accommodations for staff members.
  • Assist with audits and other compliance-related activities.
  • Assist with special projects and events as assigned. 
  • Perform other duties as assigned to support the efficient operation of the office.

Education/Experience

  • High school diploma or equivalent; associate's or bachelor’s degree preferred.
  • Previous experience in an administrative role or similar position is desirable.
  • Knowledge of standard office administrative practices and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong attention to detail and accuracy in work.
  • Excellent communication skills, both verbal and written.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Knowledge/Skill Requirements

  • Ability to work well in a fast-paced environment.
  • Effective time management and organizational skills with a high level of attention to detail.
  • Ability to prioritize tasks and meet deadlines.
  • Must maintain a high level of flexibility and resourceful problem-solving skills.
  • Excellent interpersonal and written communication skills.
  • Solid computer and typing skills with proficiency in Microsoft Excel and other Microsoft Office Suite programs.

Work Requirements
